1. PHOTOSHOOTS

Every session is a relaxed experience, not just a photo stop. Before the shoot, we discuss the route together to find the one that best fits your vision, and it can be adjusted on the day, for example in case of wind or for guests who find stairs difficult to go up and down. During the session, your photographer guides you through both candid moments (invisible direction, so you look natural without ever feeling posed) and classic posed portraits.

After your photoshoot, you'll receive a private gallery link by email within 5 working days. During high season (May to October), delivery may take up to 3 weeks. If you'd like your photos sooner, a rush delivery option is available for an additional fee of €30 to €60.

All sessions listed on our website are designed for 1 to 4 people. For groups larger than 6, we recommend booking at least 1h30, and for groups of 10 or more, a 2-hour session ensures enough time for everyone.

Arrival time. We recommend arriving at the meeting point 10 minutes early, especially for sunset sessions, when traffic and parking around the locations can be limited. If you arrive late, the delay is deducted from your session time so we can stay on schedule for the next clients. A delay of more than 15 minutes without notice may be treated as a no-show. For 15-minute and 30-minute sessions, on-time arrival is required: any late arrival without notice is considered a no-show, as these short sessions cannot be extended.

2. PICTURE DELIVERY

Your gallery. You receive every good photo from your session. No selection, no limit on the number of images, and no photos held back. Each one is colour edited by your photographer with the Kaldera grade, our own colour treatment built for Greek light: the whites of the Cyclades, the blue of the caldera, and warm, true skin tones at sunset. Photos are delivered as high-resolution 3600px JPG files in a private online gallery, ready to print, share, and keep. We do not provide unedited RAW files.

We deliver this way on purpose. Rather than choosing a handful of images for you, we hand you the whole story of your session and let you decide which moments matter most to you. Clients regularly love a frame we would never have picked ourselves.

Signature Edit. Any photo in your gallery can be taken further with a Signature Edit, at €4 per image. This is the finishing pass we apply to our portfolio work: precise cropping and horizon straightening, individual light and colour adjustment tuned to that specific frame, natural skin retouching, and removal of small distractions such as a passer-by at the edge of the frame, a bin, or a cable. Signature Edits are ordered directly from your gallery, and the finished files are added to it within 5 working days. Bundle pricing for multiple images is shown in your gallery.

Advanced retouching. Larger work goes beyond the Signature Edit and is quoted individually: removing crowds or large objects, sky replacement, body reshaping, compositing several frames, or restoring a specific look you have in mind.

Copyright and usage. Kaldera Photography retains the copyright of all images. Your photos are licensed for personal use (albums, prints, social media, etc.). For commercial or promotional purposes, please contact us directly to arrange a proper license agreement.

Gallery and archive. Your private gallery remains online for 30 days, and Signature Edits can be ordered at any time while it is live. After that, your session is kept in our archive, and files can be retrieved at any time for a €50 recovery fee.

3. PAYMENT

You may choose to pay the full amount upfront or secure your booking with a 10% non-refundable booking deposit. The balance is due at the end of the photoshoot.

Payments can be made online through your confirmation email or directly via credit/debit card, PayPal, Apple Pay, or cash. All prices include taxes and fees, and an invoice is automatically sent once payment is completed.

The balance must be settled no later than 7 days after the photoshoot. From the 8th day onwards, any unpaid balance incurs a 20% late payment fee.

Signature Edits and any advanced retouching are paid at the time of ordering, through your gallery.

4. CANCELLATION & RESCHEDULING

You can manage cancellations or date changes directly from your booking confirmation email.

Rescheduling. Date changes are free of charge up to 48 hours before your session, subject to availability.

Cancellation by you:

  • More than 10 days before: full refund minus the 10% non-refundable booking deposit.

  • Within 10 days: 50% refund.

  • Less than 24 hours or no-show: full payment due.

  • Cancellations made within 24 hours after booking are eligible for a full refund regardless of the shoot date.

In genuine emergency cases (flight cancellations, illness, natural disaster, etc.), only the 10% booking deposit will be retained. Refunds may be subject to transaction fees charged by payment providers (e.g. Stripe).

Cancellation by us. If we ever have to cancel your session (illness, emergency), you can choose between a full refund, including the booking deposit, or rescheduling to a new date with a discount on your session.

Signature Edits are a personalised service produced specifically for you, so once work has started they cannot be refunded. If you are not happy with a Signature Edit, tell us within 7 days and we will rework it free of charge.

5. WEATHER

Most of our sessions take place outdoors, and weather in Greece can occasionally surprise us. If rain or strong winds make the shoot impossible, we will reschedule your session free of charge to the next available date that works for you. If no alternative date can be found, standard cancellation terms apply and the 10% booking deposit is retained.

Light clouds or wind are usually not a problem, and often make for beautiful photos. The decision to reschedule for weather is made together with your photographer.

6. ADD-ONS & EXTRA SERVICES

During booking, you can choose optional extras such as transportation, flowers, makeup, and hairstyling. After your session, rush delivery and Signature Edits are available from your gallery.

  • Transportation is not included in the photoshoot price, except for our Editorial Fine Art and Pre-Wedding packages, where it is included. For all other sessions, we can arrange a private transfer through our partners or personally, depending on the schedule.

  • Hairstyling and makeup prices are per person and at the artist's salon (in Oia or Fira). On-location services at your hotel are available at an additional cost.

  • Flowers can be ordered in advance: just share your inspiration photos and budget, and we'll coordinate the rest with our florist.

Transportation, hairstyling, makeup, and floral services are provided by independent partners. While we only work with professionals we trust, Kaldera Photography is not liable for services performed by these third parties, and their own cancellation terms may apply.

7. LIABILITY

We take great care of our equipment and your images. In the rare event of equipment failure, memory card corruption, or loss of images before delivery, our liability is limited to a refund of the amount paid for the session.

Photoshoot locations (cliffside paths, beaches, rooftops, etc.) are used at your own risk. Kaldera Photography is not liable for personal injury or damage to personal belongings during the session. In all cases, our total liability is limited to the amount paid for your booking.

8. PRIVACY & DATA USE

At Kaldera Photography, we take your privacy seriously and process your data in accordance with the EU General Data Protection Regulation (GDPR).

We only collect the personal information necessary to process your booking (name, contact details, payment information, and session details). Your data is stored securely and never shared or sold to third parties, except when required to process your booking (for example, payment providers or service partners like makeup artists or drivers).

By booking a session, you agree that Kaldera Photography may use selected images from your shoot for portfolio or promotional purposes (such as our website, Instagram, or printed material). If you prefer to keep your photos fully private, simply let us know in writing before or after your session, and we will respect your choice completely.

You can request access, modification, or deletion of your personal data at any time by contacting us directly.

9. GOVERNING LAW

These terms are governed by Greek law. Any dispute that cannot be resolved amicably falls under the exclusive jurisdiction of the courts of Athens, Greece.
